Bookkeeping software and Making Tax Digital working properly within ninety days
Bookkeeping software and Making Tax Digital keep your limited company ready for VAT filings and year end. We set the routine around Xero or QuickBooks.
The problem often appears when a receipt is missing, a bank balance will not reconcile or a VAT deadline is close. Once the routine is set, those gaps are found while there is still time to fix them.
Fiscal Umbrella Accountants sets up bookkeeping and Making Tax Digital for growing limited companies across the UK. Fasih Khan ACCA oversees Xero or QuickBooks, receipt capture and VAT routines, with a fixed fee agreed in writing.

What changes when the books stay current
VAT returns built from current transactions
Sales, purchases and receipts are checked before the submission date approaches.
Tax decisions made before year end
Current bookkeeping gives Fasih something useful to advise on while decisions remain open.
A routine your team can follow
Your team knows where bills go, what needs checking and who handles each deadline.
Where a loose bookkeeping routine starts costing you
Small gaps become expensive questions when a filing or business decision cannot wait.
- VAT
“Our VAT return was due, and nobody could explain why the bank would not reconcile.”
Missing receipts and miscoded sales leave the return open to error and delay.
- Tax bill
“The year-end draft arrived, but the bookkeeping gaps made the corporation tax estimate useless.”
A late estimate leaves less time to decide what the company can spend or distribute.
- Hire
“I hired someone to help, but nobody had written down how bills and receipts should be handled.”
The owner keeps fixing the same mistakes because the routine still depends on one person.
- Day 90
What changes once the advice is in the room
Sales, purchases and receipts follow one routine. VAT problems appear before the return is due. Fasih can advise from current transactions while decisions are still open.

If your accountant cannot explain your bookkeeping routine, forecast your tax bill before it lands and reply this week, you have the wrong accountant
Answer these questions about what your current accountant can already do.
Question 1 of 3
Could they tell you this week whether your VAT scheme suits how you trade?
Could they show which sales, costs and receipts are missing from your books?
Could they estimate your tax bill before the payment date arrives?
Your bookkeeping is leaving important decisions until the deadline. The set-up review shows what needs fixing first.
Some of the routine is working, but one unanswered question can still affect VAT or tax. The overseas seller example shows why the VAT scheme deserves a proper check.
Your current accountant appears to be covering the important decisions. Use the bookkeeping guides to check that the routine keeps working as transaction volume grows.
What changes when bookkeeping stops being a year-end job
A regular routine gives your accountant time to act before a deadline closes the decision.
Books updated at year end
Bank transactions are reconciled when the accounts are due.
Receipts are requested in one large chase.
VAT coding is corrected close to submission.
Advice waits until the year-end draft.
Books kept through the year

Hubdoc or Dext captures receipts as costs arise.
VAT treatment is checked while transactions are current.

The checks that show whether your setup will hold
A workable setup should answer each question without a last-minute search.
- 01
Are all company bank accounts connected to the bookkeeping software?
Each company account should feed into the same reconciliation routine.
- 02
Are bills and receipts captured when the cost arises?
Hubdoc or Dext should hold the document beside the transaction.
- 03
Are sales sources mapped separately?
Each sales source should reach the correct account and VAT code.
- 04
Are VAT codes checked before submission?
The VAT treatment should match what was bought, sold and supplied.
- 05
Are returns, refunds and discounts reversed correctly?
Each reversal should flow through the books and the VAT return.
- 06
Are director purchases kept separate from company costs?
Personal spending should not be left inside company expenses.
- 07
Is each period reviewed before it is closed?
Unexplained balances should be checked while the transaction is still familiar.
- 08
Can the VAT return reach HMRC through compatible software?
The submission route should meet Making Tax Digital requirements.
What stays covered after the setup is finished
The routine continues after the software has been connected and your team has been trained.

When this bookkeeping service is unlikely to fit
The business is a sole trader, partnership or LLP.

The owner will not use the bookkeeping software needed for the agreed routine.
The set-up review checks the fit before any work or software change is agreed.
What directors ask before changing their bookkeeping setup
What does the monthly fee for bookkeeping software and Making Tax Digital include?
The scope can cover Xero or QuickBooks, bank reconciliation, sales and purchase coding, Hubdoc or Dext, and VAT submissions under Making Tax Digital. It depends on your transaction volume and services. Fiscal Umbrella confirms the work in a fixed fee proposal before anything starts, so responsibility for each task is written down.
Can Fiscal Umbrella help if we already have an accountant?
Yes. Fiscal Umbrella can review the bookkeeping setup, VAT scheme and approaching deadlines before any switch. If there is a fit, the firm handles professional clearance and requests the files from your current accountant. The aim is to keep filings moving while the new routine is put in place.
Do we have to move to Xero or QuickBooks?
No automatic move is made. Fasih first checks your current software, how transactions enter it and whether it supports the required filings. If the setup cannot support reliable bookkeeping or Making Tax Digital, he will explain why Xero or QuickBooks is recommended before any change is agreed.
What happens with our current accountant if we switch?
Fiscal Umbrella contacts your current accountant, completes professional clearance and requests the bookkeeping files needed for the handover. Upcoming accounts, VAT and payroll deadlines are checked during the move. Your current accountant remains responsible for any work already agreed until the handover responsibilities are confirmed.
How does Making Tax Digital work for a limited company?
For VAT registered limited companies, Making Tax Digital requires VAT sales and purchase data to be kept in compatible software and VAT returns sent to HMRC through that software. Fiscal Umbrella sets up the digital links, checks VAT coding and manages the submission routine. Corporation tax and annual accounts remain separate filings.
What do Hubdoc and Dext do for bookkeeping?
Hubdoc and Dext collect bills and receipts, then attach them to the relevant bookkeeping transaction. Fasih sets up the chosen tool and trains the people who will use it. The receipt is then available when a cost is reviewed, reducing the documents that need chasing near a VAT deadline.
